Limit Amount of Time off an Employee Can Request Off or Use in an Accrual Year

GOAL

  • Need to limit how many hours an employee can use in an accrual year regardless of how many hours they have accrued
  • Error: Remaining available balance for ACCRUAL CODE would be negative

ANSWER
This functionality generates an error on the timecard (when Employee Saves or Submits timecard, or manager Approves timecard. This does Not generate any errors during the Request process for employees requesting time off.

  1. Enable the functionality at the Company Setup level
  • Company Settings > Global Setup > Company Setup
  • Global Policies tab, Accruals Policies widget, in the Visible Columns section click the box for: Available Balance, and Save

2. Configure the Timesheet Profile

  • Company Settings > Profiles/Policies > Timesheet
  • Edit the Timesheet Profile
  • Click the button: View/Edit Rules
  • Click Add Rule
  • Set filter = Time Off Exceeded (under Save, Submit and Approval)
  • Edit the rule, under the BALANCES section, select radio button for: Check Available Balance

3. Configure the Accrual Profile

  • Company Settings > Profiles/Policies > Benefit Accruals
  • Extra Settings widget, Available Balance (Per Accrual Year). set value in field: Hours Available Each Accrual Year
  • Under the RESTRICTION SETTINGS section, select the box: Restrict From Approve Time Off Request If Balance Will Be Negative
